What’s Involved with Office Space Decommission?

Decommissioning An Office

Office decommissioning is more involved than a pick-up-and-go situation. Vacating a professional space requires much more planning than most office managers expect.

You need time to handle a decommission the same way you would need time to handle a move. You need to be sure to protect your company’s sensitive data, whether it is on paper or a hard drive. And you need time to minimize the number of unwanted items that will find their way to a landfill if there is not enough time to plan properly.

Working with an experienced team like Clancy Relocation & Logistics gives you access to the advice you need to plan properly.

What is office decommissioning? It is the process of bringing your commercial office space back to its original condition and ensuring you meet your lease surrender requirements. Here is a preview of the areas you will need to cover:

Lease Review

Your lease will have specific requirements that must be met before vacating your commercial space. This could include specific cleaning and repair requests. Look closely at your lease termination clause., Make note of these requirements, and begin formulating a plan to execute each one. We will help you plan a timeline but remember to allow at least 1 to 2 weeks to review the space with the landlord. You will have time to address any final punch-list items.

Planning & Organization

Our team will help you by surveying your office space and discussing all of the furniture and fixtures, technology, and archives. Once everything has been taken into consideration, you can put together a project plan with a realistic timeline.

Disposal & Recycling

e-Waste

After taking a look at assets, there may be a pile of outdated technology, such as used headsets, old phones, broken laptops, and more that you no longer need to keep. Clancy brings your e-waste to a certified e-waste handler. Our partners are R2, or E-Stewards certified. They will ensure HIPAA and NIST 800-88 compliant data destruction.

Shredding

How many drawers are in your office? Each drawer potentially has old confidential materials in them. Your plan should allow time to inspect every drawer and ensure all confidential materials are collected and destroyed.

Fixtures

The removal of certain fixtures may be required depending on your termination clause. Mounts for TV’s, built-in shelves, custom lights, and more may need to be removed. If there is any question in your mind, schedule a walk-through with the landlord. Tenants sometimes avoid this only to find out the landlord wants items removed.

What you want to avoid is addressing these issues with only a few days left in your lease. Knowing the requirements of the landlord well in advance will help avoid incurring additional monthly lease costs and other penalties.

The Broom Sweep

After removing all assets from the premises, it is time to get the commercial space prepared before handing over the keys. A broom sweep refers to a level of cleanliness. Pieces of paper and other loose items are completely removed. But the space does not need to be scrubbed clean. But be careful to review the lease termination carefully. If a carpet is badly soiled or worn, you may need to clean or replace it.

Our team will help get the space clean and in the suitable condition in order to meet your lease requirements.
